Axway is a global enterprise software company providing API management, integration, and managed file transfer solutions to Fortune 500 enterprises worldwide. The Axway Summit is the company’s flagship annual customer event in the Americas, a multi-day program bringing together customers, partners, and Axway leadership for product roadmap reveals, technical deep dives, customer awards, and direct sales engagement.
After the 2025 edition in Austin, Axway entrusted The VIBE Agency to relocate and elevate the 2026 Summit in New Orleans.
THE ASK
Axway is a long-standing client of The VIBE Agency. After the 2025 Summit in Austin, Axway asked VIBE to relocate the 2026 edition to New Orleans, anchor the program at the Higgins Hotel & Conference Center, and add a culturally distinctive offsite closing party at Mardi Gras World.
The mandate covered the full event production layer: a 6-day master program, three concurrent product content tracks, five concurrent 1:1 customer meeting rooms across seven rounds, a six-trophy customer Awards Ceremony, the Solution Pavilion, the offsite closing party, real-time photo platform integration, and a 162-reservation rooming list across four hotel blocks.
VIBE built the entire 2026 Summit production around a single creative spine: New Orleans as a strategic decision, not a backdrop. The city was a feature of the program. Every operational choice was designed to leverage the cultural distinctiveness of NOLA while protecting the technical depth and corporate polish that Axway’s customer base expects.
OUR SCOPE OF WORK INCLUDED:
- Program Architecture: building and operating a 9-sheet master Run of Show synchronizing every speaker, every AV cue, every breakout transition, every break, and every meal across the three core summit days.
- Multi-Track Coordination: managing three concurrent product tracks (Amplify, B2B, MFT) across plenary sessions, GM Roadmap presentations, Learning Labs, and customer keynotes.
- Sales Engagement Engine: choreographing five concurrent 1:1 customer meeting rooms across seven rounds of 45-minute slots, with monitored handoffs and pipeline-grade pacing.
- Awards Ceremony: staging a 6-trophy customer Awards Ceremony with trophies pre-positioned, photographer cued before the first winner was named, and bumper music holding room energybetween awards.
- Solution Pavilion: managing the exhibitor floor end to end, from booth carrier delivery and AV integration through dismantle.
- Offsite Closing Party at Mardi Gras World: choreographing bus transfer from Higgins to River City, a Mahogany 2nd Line band parade from the Float Den to the Mansion, distressed lounge furniture build, NOLA-themed buffet, premium open bar, the Cassette Span 5-piece live band, and full AV with Mainstage Pro.
- Real-Time Engagement: integrating the Memento photo sharing platform so attendees could share the experience live, extending the in-room moments into their digital lives.
- Hotel & Logistics: managing a 162-reservation rooming list across four hotel blocks, vendor briefings, hotel walkthroughs, and on-site VIBE Production Office stand-up.
The summit unfolded across a 6-day footprint: pre-summit set-up and Solution Pavilion build, an opening day of Learning Labs and 1:1 customer meetings followed by a Welcome Reception, two core summit days of plenaries and breakout tracks culminating in the customer Awards Ceremony, the Mardi Gras World closing party, and a final closeout day for booth dismantle and on-site debrief.
THE VIBE
Behind the polish sat a precision production layer. The 1:1 meeting choreography turned customer attention into pipeline. The Awards Ceremony was staged box by box. The Memento real-time photo platform was integrated so attendees could share the experience live. A late-cycle scope addition, the Welcome Reception added to replace a VIP dinner, was absorbed into the master ROS without quality compromise.
The 7-month, 18-meeting production cadence with the Axway team gave the client a single point of accountability across every operational decision, and a single document set across every workstream. The 2026 Summit re-anchored Axway’s annual customer moment in a city that gave the program a story. The customers came for the roadmap. They left with New Orleans
KEY LEARNINGS
- Venue is a strategic decision. New Orleans transformed Axway’s annual summit from a content event into a cultural moment, and the closing night at Mardi Gras World was the year’s most-shared customer story.
- Three concurrent breakout tracks require three parallel run-of-show layers. Amplify, B2B, and MFT each had their own AV cues, speaker leads, and pacing, and the master ROS held them in sync.
- 1:1 sales engagement at scale is choreographed, not improvised. Five rooms, seven rounds, 45-minute slots, and monitored handoffs are what convert customer attention into pipeline.
- Awards ceremonies live or die on staging discipline. Trophies pre-staged, photographer in position before the first winner is named, and bumper music between awards keep the room’s energy alive.
- Offsite closing parties win on transition logistics. The bus transfer, the 2nd line band parade,and the lounge furniture build were the three invisible decisions that made the night feel cinematic.
- Late-cycle scope changes get absorbed by the team that documents the production deeply. When the master ROS is built right, additions cost zero quality.
